Trigger Event: Clio Update Detection

Whenever an update or search for a matter occurs in Clio, this workflow is set into motion. It watches for specific changes like newly found legal matters by their number, display number, description, or client name.


Actions

1. Find Matter in Clio

The workflow searches Clio for a legal matter using provided details (“00012-choudhary”). This ensures you’re always referencing the right legal case.

2. Conditional Logic – Matter Status

If your matter exists, the workflow proceeds to update related notes or information. If it’s not found, you have the option to create a new one (this template keeps creation set to "false" for the search).

3. Create a Matter Note

For the relevant matter, a new note is instantly added. This is great for tracking case developments or internal remarks (e.g., subject and details are entered as examples).

4. Find Contact Person in Clio

To make your communications targeted, the workflow looks for a contact in Clio using the person’s name or ID. This step ensures the correct recipient gets updated about the matter.

5. Conditional Logic – Contact Found

If the contact person is present in Clio, the workflow moves to the next step to notify them. If not, you can update the person details as needed.

6. Send Email Notification (Outlook)

Lastly, an automated email goes out using Outlook. Both "To" and "CC" recipients are pre-filled as examples to ensure your team or clients are promptly informed of the update. The subject and message body can be adjusted to suit your communication style.
