1. Trigger: New Employee Data Received

Whenever new employee information is submitted (for example, from a form or HR tool), this workflow automatically starts.

2. Extract Names

  • First Name: The system splits the full name to get the first name.
  • Last Name: Similarly, it pulls out the last name from the full name.

3. Format Dates

  • Date of Birth: The workflow checks and converts the date of birth into the standard 'YYYY/MM/DD' format.
  • Joining Date: The joining date is also validated and formatted for consistency.

4. Convert Gender

The gender value is standardized (male/female/other) into a format compatible with Keka HR.

5. Fetch Latest Employee Number

  • The system fetches the most recent employee in Keka to ensure the new entry uses the next available number.

6. Generate New Employee Number

  • Only the last four digits are extracted from the latest number and incremented by one to assign to the new hire.

7. Add Employee to Keka HR

  • All extracted and formatted details are now entered into Keka:
