Automate OnceHub Bookings Sync with Google Contacts

Instructions

Setup Instructions:
Follow these steps to configure the workflow:

1. Connect Your OnceHub Account.


Connect and authorize your OnceHub account. This allows the workflow to trigger whenever someone books a meeting with you.

2. Configure the Google Contact Search:

Click on the "Search Contact" step.

Connect and authorize your Google Contacts account.

In the "Field to Search," select Email, Phone Number or Exact Name.

In the "Value to Search," insert the Value.

3. Set Up the "Update" and "Create" Paths:
The "IF" condition is already set up to check if a contact was found. You just need to configure what happens in each case.

A) If a Contact is Found (The "True" Path):

Click on the "Update Contact" step.

You need to tell the workflow which contact to update. Map the Contact ID from the "Search Contact" step into the "Contact ID" field here.

Map any other fields you want to keep updated. For example, you can update the Phone Number field using the phone number provided in the OnceHub booking.

B) If No Contact is Found (The "False" Path):

Click on the "Create Contact" step.

Map the information from the OnceHub trigger to the appropriate fields to create the new contact.

Continue for any other details you want to save.

4. Test and Activate:

Use the "Test flow" button to run a test with a recent booking to make sure everything is working correctly.

Save and activate the workflow.

Trigger Event: New Booking on OnceHub

Whenever someone books time with you through OnceHub, this workflow is triggered. That means as soon as your customer schedules a meeting, the automation kicks in.

Actions

1. Search Contact in Google Contacts

The workflow first checks your Google Contacts list for the person who just made the booking. It searches by the full name to find any existing record.

2. Update Existing Contact

If a match is found, the automation updates that contact's information in Google Contacts. This ensures that details are always current without the need to search or update manually.

3. Create New Contact

If there's no existing contact for the person, the workflow creates a new contact with their booking details. That way, every new customer is properly added to your list.
